Understanding Your Event Details

Use this section to outline your event and keep your planner (or team) in the loop.

From location and dates to budget, goals, and must-know details, the Event Details tab is your space to outline everything in one place. You can also invite collaborators so your whole team stays on the same page. Filling out these sections helps your event planner (or your team!) bring your vision to life—clearly and confidently.

Summary

This section captures the key info—like location, dates, budget, and goals—to help you get clear on your event or give your planner the context they need to get started.

Event Details

  • Event Name: Choose a name that reflects the event’s purpose and tone

  • Event Policy: This section is view-only and applies only to companies with a company-wide Event Management Platform subscription. If you don’t see content here, no action is needed.

  • BoomPop Event Type: Reflects your current support level:

    • Platform Only – Self-Service: You’ll manage the logistics, and we’ll provide the tools.

    • Full Service – With Event Planner: Our event planners manage the process for you.

Location

  • Primary Location: List the city you’re targeting

  • Alternative Location (Optional): Provide a second-choice destination in case your preferred location isn’t available or doesn’t fit your budget.

Dates

  • Choose from:

    • Date Range – For multi-day events. Select your main range, and optionally, add backup dates.

    • Single Date – For one-day events like leadership summits.

    • Flexible Dates – If you’re open to dates but know the general month and length. This gives us more room to find the best options.

Tip: Including alternate dates in an RFP (request for pricing) often increases venue availability and pricing flexibility!

Budget

  • Total Event Budget: Estimate the full amount you plan to spend. This helps us prioritize options within your range.

  • Number of Guests: Include all attendees, even if remote participants are joining portions virtually.

  • Cost Breakdown: We’ll provide a breakdown based on typical cost distribution for corporate events.

    • Per-Person Estimate: Based on overall budget divided by attendees.

    • Target Hotel Room Rate: Calculated using your guest count and number of night; use as a benchmark to guide accommodation options

  • Budget Estimator Tool: Use this to test different budget and guest count combinations before finalizing.

Details

  • Type of Event: Choose the category that best fits. The categories we include to chose from are:

    • planning, or engagement

    • Team Meetup – Smaller, departmental or regional team get-togethers

    • Exec Team – Leadership-level strategic or planning sessions

    • Retreat – Blends work and rest, often offsite and multi-day

    • SKO (Sales Kickoff) – Annual or quarterly sales-focused gatherings

    • Other – If your event doesn’t fit the categories above, let us know how you'd describe it

  • Services Needed (for Full Service only): Select what BoomPop should support with. Option include:

    • Hotels

    • Transportation

    • Meeting space

    • Activities

    • Meals

    • Onsite support

    • All of the above


Planning & Goals

Use this section to share how you like to communicate, what your budget should cover, who’s attending, and what success looks like.

  • Preferred Communication Method

    • If you're planning with an event planner, let us know how to best reach you—Slack, text, email, or phone.

  • Budget Scope

    • Select which items your budget should cover (e.g., hotel, meals, activities, onsite support). This keeps recommendations aligned with your scope.

  • Planning Experience & Event Context

    • If this is a recurring event, tell us what worked well previously. This helps us improve the experience without losing what made it successful.

  • Primary Goals

    • Being specific here allows us to focus the agenda and experiences around your objectives.

      • Cross-team alignment

      • Executive planning

      • Culture building

      • Training or onboarding

  • Defining Success

    • Are you aiming for stronger team connection? A breakthrough strategic plan? Clear metrics help shape our recommendations or give your clarity on what to prioritize.

  • Target Audience & Attendees

    • Define the group attending. This ensures the format, tone, and amenities fit your audience.

      • Examples: Entire company, Leadership team, Client-facing teams


Locations & Itinerary

This section helps you or your event planner to understand your team’s ideal offsite experience—from location must-haves to daily flow. Think of it as your chance to set the tone and share what matters most.

  • City Must-Haves

    • Tell us what matters most for your team—both logistically and experientially.

      • Examples: Accessibility, climate, walkability, amenities, atmosphere

  • Daily Itinerary Structure

    • Break it down by day. Aim for a good rhythm of content and connection—balancing sessions, meals, and activities that align with your offsite goals (like strategy, alignment, or culture-building).

      • Call out any meals or activities happening offsite (helps with transportation and timing)

      • Include any team-building events (like a hike, cooking class, or escape room)

      • Mix up meals and meetings to keep energy levels up

  • Additional Notes

    • Share anything else we should keep in mind that doesn’t fit elsewhere.

    • Examples: Time zone preferences, AV or hybrid setup needs, cultural considerations, ideal day flow (e.g. “Mornings for deep work, afternoons for bonding”)

  • Event Enhancements

    • Event enhancements are optional add-ons that elevate your offsite experience and can be included with any full-service event for an additional cost

      • Options available: gifting swag, flight support, onsite support, photography, videography, insurance, Uber/Lyft vouchers, carbon offsets
