Whether you're new to event planning or just need a quick refresher, this glossary breaks down the terms you'll hear often across BoomPop, SaaS, and the hospitality industry.
BoomPop Terms
BoomPop Lite
Our sourcing-only service, handling venue discovery, RFP management, proposal comparison, and rate/concession negotiations— then support you through holding dates and contracting. After the venue is booked, your team leads planning and execution (or you can upgrade to Full Service to work with a BoomPop Event Planner).
BoomPop Platform
A centralized system designed to streamline the planning, coordination, and management of multiple events in one place. The BoomPop Platform brings together all the tools and resources you need—from venue sourcing to post-event wrap-up—making it easy to organize events at scale.
EMP (Event Management Platform)
BoomPop’s self-serve tool built for enterprise customers who need a scalable solution to manage company-wide events. EMP allows multiple teams and stakeholders to plan, track, and collaborate on events across the organization—whether hosted by People Ops, Marketing, Sales, or others—all in one unified platform.
Event Dashboard
A centralized page within the platform dedicated to a single event. The dashboard includes tools to collaborate with your event planner, build your itinerary and guest website, select venues and vendors, track contracts and budgets, and manage every detail of your event from start to finish.
Event Hub (My Events)
The homepage of the BoomPop Platform. From here, users can access and manage all of their active, upcoming, and past events in one place.
If you're an EMP customer, you’ll also see a [Company Name] Event Hub tab—giving you visibility into all events happening across your organization, not just the ones you’re personally involved in.
Full Service Hub
A section within the Event Dashboard where partners and planners manage all major event elements—budget, guest list, itinerary, meal selections, and more. It’s a comprehensive, real-time view of the entire event.
Guest Management
A tab within the Event Dashboard where hosts can manage everything related to attendees in one place. This includes access to the Guest Website, RSVP tracking, and post-event Surveys. Whether you're updating event details, monitoring responses, or collecting feedback, the Guest Management tab keeps guest communications organized and up to date.
Shortlist
A section within the Event Dashboard where partners and planners can review and compare venue options that match the event’s criteria.
BoomPop Team Terms
Client Success Manager (CSM)
BoomPop's relationship lead for your account. CSMs help you get the most out of our platform and services—from event strategy to contract renewals.
Event Coordinator (EC)
Logistics pros who support Event Planners behind-the-scenes with vendor coordination, financial details, and other event-related operations.
Event Planner (EP)
Your main point of contact for Full Service events, post sourcing. EPs handle the strategy, planning, and execution of your event in collaboration with our internal teams and vendor partners.
Full Service
A planning model where BoomPop manages your event end-to-end. Includes support from an Event Planner, Client Success Manager, and our behind-the-scenes teams.
Product Support (PS)
Our team that supports all things product-related. We help troubleshoot platform issues, answer technical questions, and escalate bugs as needed.
Self-Service
For teams planning their own event using BoomPop’s software. You’ll still have access to venue sourcing, timelines, and guest communication tools.
Sourcing Operations Manager (SOM)
Your primary point of contact during the venue-sourcing phase for Full Service & BoomPop Lite events. SOMs translate your event needs into RFPs, manage outreach to hotels and venues, compare proposals, negotiate rates and concessions, and recommend the best-fit option within your budget and timeline. They act as your liaison with venue partners and keep due dates on track.
Sourcing Operations Team (SOT)
Our behind-the-scenes experts who communicate directly with hotels and venues. They help manage all RFP submissions and negotiations on your behalf.
Hospitality & Event Planning Terms
Attrition
A hotel’s policy that sets the minimum number of rooms your group must book to avoid fees. If fewer rooms are booked than contracted, you may still be charged for the difference.
Note: Attrition can apply to the entire event’s room commitment (cumulative) or be figured night by night.
BEO (Banquet Event Order)
A document outlining all food, beverage, setup, and timing details for an event at a hotel or venue.
Concessions
Extra perks or discounts a hotel may offer—like suite upgrades, free Wi-Fi, or waived fees— negotiated in the contracting phase.
Cut-Off Date
The deadline for guests to book hotel rooms at the group rate. After this date, rooms may not be guaranteed.
Final Guarantee
The number of guests that hotel / restaurants will charge for and prepare food for during your event.
Food & Beverage (F&B) Minimum
The least your group commits to spend on food & beverage to reserve the space. You’ll pay at least the minimum, or more if actuals exceed it.
Note: There is typically a service charge and tax on top of the minimum revenue amount (noted as ++).
Group Rate
The rate given to a group of rooms, usually 10 or more. Most hotels offer discounts for group bookings, which can range from 10% to 30% off the regular room rate.
Master Account
A form of payment with the hotel where the balance is paid directly by the group / contract signer. During your event, transactions can be billed to the Master Account, or to the individual as desired.
Post-Con
Short for post-conference debrief. A recap meeting between event hosts and vendors/hotel teams to review what went well and what could improve.
Pre-Con
Short for pre-conference meeting. A planning session between event hosts and venue staff to review all final event details and align on logistics before the event begins.
RFP (Request for Proposal)
A document sent to hotels & venues with your event requirements. Venues respond with pricing, availability, and inclusions.
Rooming List
A spreadsheet of guests and their hotel room assignments, including check-in and check-out dates. Shared with the hotel to confirm bookings and logistics.
Run of Show
A minute-by-minute timeline used to manage the event day. Includes who is doing what, when, and where.
Run Rate
The standard, public rate for a hotel room—what you’d see on a hotel’s website or booking platform. BoomPop often secures lower, negotiated rates through group contracts.
Sleeping Rooms
Individual hotel rooms for overnight guests. Different from meeting or event spaces, these are where your attendees will sleep during the event.
Total Sleeping Rooms / Room Nights
The total number of sleeping rooms multiplied by the number of nights they’re needed. For example, 30 guests staying 2 nights = 60 room nights. This number often looks higher than your guest count—but it reflects the full hotel stay, not just the number of people.
