Once you have a general outline of your event days, head to the Itinerary section of your planning page to start mapping things out.
We offer a few templates to help you get started:
Work & Fun: A balanced mix of meetings and group activities
Work-Focused: Primarily working sessions and meetings
Fun-Focused: Mostly activities and social experiences
From Scratch: Start with a blank schedule and build from the ground up
After selecting your template, you’ll see your draft schedule and can begin editing.
Customizing Your Schedule
Once your template is selected, click and drag to adjust time blocks or create new ones.
Use the pencil icon to edit a schedule block or add additional details.
In the rename calendar event details, you can change the time and date, update the description, or add notes.
Use Collaborator Notes for details that do not need to be known by guests, such as a vendor's contact information or instructions on how to enter a venue, etc. a
Maps & Suggestions
You'll notice a sidebar on the right-hand side of the main internally page with two options at the top: Map and Suggestions. This panel is where you’ll see vendor and activity recommendations based on your event’s destination.
Any vendors added to the itinerary will show on the map view.
In the Suggestions tab under the Recommended section, you’ll see restaurants, services, and activities we love that are near your event location or any vendors you’ve marked with a venue address. These are not automatically booked, so if something looks good, you’ll still need to reach out to the vendor directly to confirm.
If you've already confirmed vendors in your planning, they’ll appear in the Booked tab. From there, you can quickly add any of them to your itinerary. When added, all location and contact information will auto-fill into the activity block, saving you time and helping you keep everything accurate.
This view is especially helpful for visualizing your event flow, double-checking logistics, and making sure you've accounted for transportation time or overlapping commitments.
Edits save as you go, so there’s no need to worry about losing progress.
Tips While Building
Switching Templates: Changes made to your current itinerary won’t carry over if you switch templates. You’ll see a warning before confirming.
Hide Events: You can choose to hide certain activities from guests—only collaborators will be able to see those.
Once your itinerary is finalized, it will appear in the Itinerary section of your Guest Website—just make sure that section is toggled on and visible in your settings. You can continue editing your schedule at any time, and updates will reflect automatically.
