Understanding Vendor Request Statuses

Check your hotel RFP progress in real time—no follow-up emails required.

Once you’ve submitted a hotel request, you can track the status in real time under the Requests & Bookings section of your event. This view shows you exactly where things stand with each hotel so you’re never left guessing.

Here’s what each status means:

  • Request Sent: Your request has been submitted and we’re waiting on a response.

  • Available, working on Pricing: The hotel is available but hasn’t yet provided full pricing.

  • Available: The hotel has confirmed availability and submitted pricing.

  • Not Available: The hotel is not available for your requested dates.

  • Booked: The hotel has been selected and reserved for your event.

In addition to the status, each RFP card also shows important submission details to help you stay organized:

  • Vendor name and location

  • Dates requested

  • Estimated vendor price

  • Timestamp of the last update

  • Who submitted the request

This makes it easy to keep track of progress, compare options, and coordinate with your team—especially if multiple people are helping plan. You can switch between list and comparison views, filter by status (Requests, Booked, Archived), or add new vendors directly from this page.

You can view these real-time updates right in your event under Requests & Bookings, so you’ll always know which venues are still pending and which are ready to review.
