Responding to an inquiry
Navigate to the needed sub-brand and select the property you’ll propose from. Open the Inquiries tab to see the request summary and due date, then select View to open the full inquiry.
You will then be prompted to to Respond to the request for a proposal.
You’ll see an estimated completion time before you begin, and once you click through, you can share your availability and pricing or decline the request if the dates don’t work.
Responding here also unlocks messaging with the event organizer so you can keep the conversation moving. Select Respond to request for proposal to start the process.
Select Start to begin responding to the proposal inquiry.
You won't be able to make any changes after submission nor save halfway through, so make sure you've reviewed the request in full and are ready to share details.
You’ll then see all of the event dates the client requested, including any alternates. This lets you share tailored availability and pricing for each option so the organizer gets a complete picture.
If there are multiple dates shared, you will be able to customize your responses based on the dates requested. When you've selected your desired date, hit Next to move forward.
Regardless of the number of dates requested, you'll need to confirm your availability to for each date.
If you're available, select Available and then click Done to continue. If you are not available, scroll to the bottom of this article to review the declining steps.
Sending availability and pricing
After you confirm, enter your full quote details, including comprehensive pricing, concessions, commission and a clear summary note.
Note: If you are unable to provide a rate of 10% or higher, enter 10% and add the actual rate in the comments field. Our team will update the commission on the back end. Commission details are not shared with the client, so this will not impact your RFP delivery.
Next, set an Expiration Date for your proposal so the event organizer responds in a timely manner. Click Next to continue on in the flow.
Then, attach any supporting documents—floor plans, photos, menus, or other helpful files in the Attachment section.
Once all your details have been added and you've accepted our Terms of Use, hit Submit to send your proposal to the customer.
You will be prompted to confirm your submission, as no changes can be made to your proposal once it has been submitted.
Declining a proposal request
If you’re unavailable for any of the dates requested, you’ll first need to indicate your availability for each date. Remember, you must provide an answer for all dates listed.
Once you’ve marked a date as unavailable, you can submit a reason by selecting one of the provided options and leaving an optional note for additional context.
Next, click Decline Request on the following page to submit your unavailability.
You’ll be prompted to confirm this action by selecting Decline Request again in the pop-up.
Important: Once submitted, a decline cannot be undone.
Viewing submitted and declined requests
Track progress in the Proposal Submitted view within Inquiries to see status updates and next steps.
For any proposals that you or an organizer declined, you can view their status in the Not Booked tab. The party that turned down the request is listed next to the inquiry.
