Clear conversations, right where proposals live

Messaging keeps all communication with organizers tied directly to each proposal.

Once you submit a proposal in response to an RFP, messaging opens between you and the event organizer. It lives alongside the RFP and proposal, making it easy to ask questions, clarify details, and coordinate updates—all without digging through email threads or losing context.


When is messaging available?

Messaging becomes available after you submit a proposal in response to an RFP.

From that point on, you and the organizer can message back and forth directly within the platform.

Important: Messaging is only available for self organized events using our software. For Full Service events, BoomPop event planners will reach out to hotels directly via email and manage communication on the organizer’s behalf.


Messaging milestones and status updates

As the proposal moves forward, you’ll see status updates appear directly in the message thread. These help both sides stay aligned on where things stand.

Milestones include:

  • Inquiry sent

  • Proposal submitted

  • Proposal accepted

  • Proposal declined

  • Contract requested

  • Signatory appointed

  • ...and more!

These updates are informational and tied to actions taken in the platform. They don’t require a response unless you have follow-up questions or next steps to coordinate.


How to use messaging

We recommend using messaging to:

  • Ask clarifying questions about dates, rooms or meeting spaces, or event needs

  • Respond to organizer questions about pricing or inclusions

  • Review and reply to negotiation requests

  • Confirm details before revising or resubmitting a proposal

Keeping these conversations in messaging helps you move faster and ensures everything stays tied to the correct proposal.


Sharing files and documents

Messaging supports:

  • File uploads (contracts, menus, diagrams, PDFs, etc.)

  • Basic text formatting for clarity

Sharing files and keeping everything in the message thread helps ensure all information stays tied to the correct proposal and is easy to reference.


When BoomPop may join the conversation

In some cases, a BoomPop team member (such as Support or an Event Concierge) may be included in the message thread to help facilitate next steps.

  • They’ll always be clearly labeled as BoomPop

  • “BoomPop” will appear in their name in the platform

They’re there to keep things moving smoothly and ensure both sides have what they need.
