Messaging Hotels lets you communicate directly with hotels after they submit a proposal. All questions, updates, and documents are kept together, so you can stay organized and focused while planning your event.


When can I use messaging?

Messaging becomes available once a hotel submits a proposal for your RFP.

From there, you can message the hotel directly from your event dashboard.

Heads up: Messaging is available for self-organizing events only. If you’re working with a full-service BoomPop event planner, they’ll communicate with hotels on your behalf.


Messaging milestones and status updates

As you move through the venue selection process, you’ll see status updates appear directly in the message thread. These reflect key actions taken on the proposal and help you track progress at a glance.

Milestones include:

  • Inquiry sent

  • Proposal received

  • Proposal accepted

  • Proposal declined

  • Signatory appointed

  • ...and more!

These updates are automatic and don’t require action unless you want to follow up or ask questions.


What you can use messaging for

You can use messaging to:

  • Ask follow-up questions about pricing, availability, or inclusions

  • Clarify room needs, meeting space, or event details

  • Share documents or additional context

  • Negotiate pricing, concessions, or amenities

Because everything is connected to the proposal, it’s easy for you to track what’s been discussed and agreed on.


AI-powered negotiation

You can use BoomPop’s AI negotiation tool directly within the message thread to request adjustments to pricing or amenities.

Hotels will receive your negotiation request in the same chat and can:

  • Respond with questions

  • Accept or counter

  • Update their proposal once terms are aligned


Attachments and formatting

Messaging supports:

  • File uploads (agendas, rooming lists, diagrams, and more)

  • Basic text formatting for clarity

It’s designed to be simple, focused, and easy to follow—just like a regular chat.


When BoomPop may join the conversation

Depending on your event, a BoomPop team member (such as our Sourcing Team or an Event Concierge) may be included in the message thread.

  • They’re always clearly labeled as BoomPop

  • “BoomPop” will appear in their name

They’re there to help answer questions, unblock next steps, or support contract-related workflows.
