Requesting a Hotel Contract

Turn an approved proposal into a signed agreement, seamlessly

Once you’ve landed on a hotel proposal that checks all the boxes, the next step is to request a contract. This tells the hotel you’re ready to move forward and kicks off their official contracting process.

Below is how to review, confirm, and request a contract— plus what to expect once it’s sent.


Review and confirm your proposal

Before requesting a contract, it’s most effective to make sure the proposal is fully dialed in.

You’ll want to confirm that:

  • All negotiated pricing and concessions are reflected

  • Dates, room counts, and event details are accurate

  • The proposal includes everything you need to move forward

When you’re ready, select “Request a contract” on the proposal.


A confirmation window will appear—select “Proceed” to continue.


Add your contract signatory

Next, you’ll be asked to add signatory information. This is the person who will receive and sign the contract from the hotel, so it’s important they’re authorized to do so.

You have two options on how to proceed: Select yourself or a collaborator from the dropdown if they’re already in the platform

Or, enter an email address directly if the signer isn’t in BoomPop.

On the right-hand side of the screen, you’ll see a proposal summary— including the estimated total price— so you can double-check everything before submitting.

Once the signatory is added, select “Request a contract.”


Next Steps

Hotel contracts are signed outside of BoomPop. After you request a contract, you’ll receive an email directly from the hotel with next steps.

A quick heads-up:

  • Many hotels use secure e-signature tools, so keep an eye out for an email from a signing platform

  • The contract will be reviewed and signed directly through that email

After the agreement is fully executed, the hotel will upload a copy to the platform so both you and your collaborators can reference it anytime.


Requesting a contract is the key milestone that moves your event from planning to officially booked. Once it’s signed, you’ll have a clear, shared agreement in place—and everything documented in one spot for easy access moving forward.
