Responding to an inquiry
Navigate to the needed sub-brand and select the property you’ll propose from. Open the Inquiries tab to see the request summary and due date, then select View to open the full inquiry.
Before responding, you can download a PDF of the inquiry to review offline or submit into an internal tracking system. When you're ready, select Respond to request for proposal.
Note: If an inquiry should be be handled by someone else on your team, you can reassign it before getting started. Learn how to reassign an inquiry.
You'll see all dates the client requested, including any alternates. Confirm your availability for each date. If you're unavailable for any of them, skip to Declining a proposal request further down in this article.
Select Available for each date you can accommodate, then click Done to continue.
Selecting your currency
The first time you respond to a proposal from a property, currency defaults to USD. Select the currency that matches how your property prices its rooms and spaces. Your selection will be saved at the property level for all future proposals from that property.
Organizers will see your pricing in the currency you selected, along with a disclaimer noting that the pricing is in a non-USD currency and may be subject to exchange rates.
Sending availability and pricing
Enter your full quote details: pricing, concessions, commission, and a summary note.
Commission note: If you're unable to provide a rate of 10% or higher, enter 10% and include the actual rate in the comments field. BoomPop will update the commission on the back end. Commission details are not shared with the client directly, so this won't impact your bid.
If your property has multiple room types or rates—like suites alongside standard doubles, or rates that vary by night—toggle Do you want to offer multiple room rates? to Yes and enter the name, number of rooms, and nightly rate for each type.
If the event requires meeting space, toggle Are meeting spaces complimentary? to Yes or No. If there's a cost, include the rate and any applicable fees for each space.
Next, set an Expiration Date for your proposal, then click Next.
Then attach any supporting documents—floor plans, photos, menus—in the Attachments section.
Confirm your contact information and title. You can also add team members by entering their email addresses and titles. They'll receive notifications about any future updates on this inquiry.
Once all details are complete and you've accepted the Terms of Use, click Submit.
Review your details on the confirmation screen, then click Submit to send your proposal.
This screen confirms your request has been sent to the selected venues— no further action is required on your part!
Tracking Your Proposal
After submitting, you'll see a success screen confirming your proposal was sent.
From the main Request page, you can:
Follow the status of your proposal
Message the organizer directly
See if the client requests a contract or declines. The status bar updates in real time!
Download a PDF of your submitted proposal for your records
Declining a proposal request
If you’re unavailable for any of the dates requested, you’ll first need to indicate your availability for each date. Remember, you must provide an answer for all dates listed.
Select a reason from the provided options and add an optional note for context.
Next, click Decline Request, then confirm in the pop-up.
You’ll be prompted to confirm this action by selecting Decline Request again in the pop-up.
Viewing submitted and declined requests
Submitted proposals appear in the All Inquiries tab. If a response is needed from you, the inquiry will surface in Needs Action at the top.
For inquiries that didn't result in a booking— whether declined by you, by the organizer, or expired— toggle to Closed to find them.
TL;DR
Open the Inquiries tab, select your property, and click View to open an RFP
Select Respond to request for proposal, review the estimated completion time, then click Start—you can't save mid-way or make changes after submission
Confirm your availability for each requested date
Select your proposal currency—it's saved at the property level after first use
Enter pricing, room types, meeting space details, an expiration date, and any attachments
If you can't offer 10%+ commission, enter 10% and note the actual rate in comments—BoomPop will adjust on the back end
Add collaborators, accept the Terms of Use, and click Submit
Track your proposal status, message the organizer, and download a PDF from the main Request page
