Understanding Your RFP Statuses

Track every vendor request from submission to booking

Once you submit a vendor request, you can monitor its progress in real time under the Requests & Bookings section of your event. No follow-up emails needed—this view shows exactly where each vendor stands so your team stays aligned and planning moves forward.

Each RFP card also surfaces key details at a glance:

  • Vendor name and location

  • Dates requested

  • Estimated vendor price

  • Timestamp of the last update

  • Who submitted the request


Hotel Statuses

As hotels review and respond to your request, statuses will update automatically to reflect where things stand. Here's what each one means so you always know what to expect next.

Self Planning

  • Request Sent: Your request has been submitted and is waiting on a response from the hotel.

  • Checking Availability: The hotel has viewed your inquiry and is working on it.

  • Available: The hotel has confirmed availability and provided pricing.

  • Alt. Date Available: The hotel is available, but on different dates than requested.

  • Not Available: The hotel cannot accommodate your requested dates.

  • Proposal Declined: You've declined the hotel's proposal.

  • Contract Requested: You've selected Accept & Book and a contract is in progress.

  • Contract Sent: The contract has been sent and is awaiting your signature.

  • Booked: The hotel is confirmed for your event.

  • Cancellation Pending: A cancellation request has been submitted.

  • Booking Cancelled: The booking has been cancelled.

Full Service

  • Request Sent: Your request has been submitted and is waiting on a response from the hotel.

  • Checking Availability: The hotel has viewed your inquiry and is working on it.

  • Available, Working on Pricing: The hotel has confirmed availability and is finalizing pricing.

  • Available: The hotel has confirmed availability and provided pricing.

  • Alt. Date Available: The hotel is available, but on different dates than requested.

  • Not Available: The hotel cannot accommodate your requested dates.

  • Proposal Declined: You've declined the hotel's proposal.

  • Contract Requested: You've selected Accept & Book and a contract is in progress.

  • Booked: The hotel is confirmed for your event.

  • Cancellation Pending: A cancellation request has been submitted.

  • Booking Cancelled: The booking has been cancelled.


Restaurant & Activity Statuses

These statuses apply to both restaurant and activity vendor requests, regardless of planning type.

  • Request Sent: Your request has been submitted and is waiting on a response.

  • Checking Availability: The vendor has viewed your inquiry and is working on it.

  • Available: The vendor has confirmed availability and provided pricing.

  • Not Available: The vendor cannot accommodate your requested dates.

  • Proposal Declined: You've declined the vendor's proposal.

  • Booked: The vendor is confirmed for your event.

  • Cancellation Pending: A cancellation request has been submitted.

  • Booking Cancelled: The booking has been cancelled.


Tips for Managing Requests

  • Switch between list and comparison views for easier evaluation.

  • Filter by Requests, Booked, or Archived to focus on what matters.

  • Add new vendors directly from the page without leaving your event.

With real-time status updates across all your vendors, you'll always know what's pending, what's ready to review, and what's confirmed—so nothing slips through the cracks.
