Partner Hub: Managing Rooming Lists

Real-time guest details, updates, and approvals— all in one place

Partner Hub eliminates the back-and-forth of chasing templates or waiting for planners to send rooming list details. All RSVP information flows directly to you in real time, keeping everything organized and up to date.


Set up your rooming list

Rooming list setup starts during the contracting process— specifically, when the event organizer uploads their executed contract. At that stage, they're required to enter a rooming list contact email and a rooming list due date before the contract can be marked as executed.

Edit rooming list details

To review or update your rooming list details, head to the Bookings tab and select the relevant booking.

Click anywhere in the booking details to expand them, then locate the Rooming List section. Here you'll find:

  • The rooming list due date

  • A button to view the rooming list

  • An Edit Deadline button to update the due date

  • The option to reassign the rooming list to another team member

To reassign, select a user from the dropdown of existing account members—or invite someone new by entering their email address.


View your rooming list

To view your rooming list, click the Go to Rooming List button in the Rooming List section of your booking.

Before the due date, the list will appear empty—that's expected. As guests RSVP, their information is automatically collected in the background. Once the due date passes, all of those details will populate here for your review and reference.


After the due date

Once the due date passes, you will be prompted to upload your rooming list document to share with the client and audit against platform data.


Click Upload file and select or drag in your document.


If there are inconsistencies between your document and the platform, an error message will alert you.

You can then click through to view specific issues and update your document accordingly.


Changes post due date

After matching your document to platform data, all updates flow into the Updates & Changes section. Notification counts help you track what’s waiting for approval.

You can review requests from the organizer or individual guests and approve or deny them as necessary, or approve all requests at once.

The Change Log tab allows you to track all adjustments over time...

...and you can download the rooming list data in CSV or Excel format at any point.

Messaging functionality is coming soon, making it easier to ask clarifying questions or confirm details with the organizer.

TL;DR

  • Rooming list setup happens during contracting—the organizer enters a due date and contact email when uploading their executed contract.

  • Once that's done, your rooming list details are already populated in the Bookings tab.

  • From the Rooming List section, you can edit the due date or reassign the list to another team member.

  • RSVPs and edits flow into your list automatically in real time.

  • After the due date, upload your finalized rooming list and resolve any inconsistencies with platform data.

  • Track all updates and approvals in the Updates & Changes and Change Log sections.

  • Download your list anytime in CSV or Excel format. Messaging functionality coming soon.
