Once you've explored hotels in BoomPop and added your favorites to a shortlist, the next step is submitting an availability request (also called an RFP). This sends your event details—dates, headcount, room block needs, and more—directly to each hotel so they can respond with pricing and availability.
Start from Your Shortlist
All availability requests begin in the Shortlist tab of your event. From there, select the hotels you want to reach out to and click Start Hotel RFP to begin.
At this stage, you can also add any remaining hotels from your shortlist.
Fill Out Your Request Details
You'll be guided through a series of questions to complete your request. Some fields will pre-fill from your event details—review them and fill in anything that's missing.
Key details to include:
Event dates and flexibility
Estimated headcount
Room block needs
Meeting or event space requirements
Food & beverage needs
Budget (optional but helpful)
Any additional notes for the hotel
Review and Send
Before sending, you'll see a full summary of your availability request. Take a moment to confirm the details look right across all selected hotels, then click Send requests to submit.
What Happens Next
Once submitted, your requests are sent to each hotel simultaneously. You can track their responses in the Requests & Bookings tab.
Most hotels respond to your availability request within two business days. You'll receive an email notification when a hotel replies, and their response will be available to review directly in BoomPop.
