Managing Your Rooming List

Keeping your guest accommodations organized and up to date

Our rooming list feature helps you track who’s staying at the hotel for your event and ensures that any changes to guest accommodations are properly coordinated with the hotel.

This keeps your guests’ information accurate and makes communication with the hotel smooth!


Accessing Your Rooming List

The rooming list is integrated directly within your RSVP table. To see only the guests included on your rooming list, switch to the Staying on Site tab.Here, you’ll see everyone who is attending your event and staying at the hotel. Guests who are not attending or not staying at the hotel will not appear.

The list provides a complete view of your attendees’ accommodations, including check-in and check-out dates, special requests, and other relevant details.


Understanding Deadlines

You can find your rooming list deadline at the bottom of the Guest Management tab in your RSVP table.

Once the deadline passes, the hotel receives an automated email letting them know your rooming list is ready.

If you need more time to finalize details, you can request an extension from the hotel. Just send them a message via the Requests & Bookings tab or email them directly.

Note: Once the rooming list due date has passed, guests can no longer edit their details on the guest website. At that point, the finalized rooming list has already been shared with the hotel, and any updates typically require manual changes and approval from the hotel team.

If you’d like to give guests more time to RSVP or make edits, you can request a deadline extension from the hotel via an in-platform message or reach out to BoomPop Product Support for help.


Making Changes After the Deadline

After the rooming list deadline:

  • Any changes related to accommodations (check-in/check-out dates, room requests, or special requests) must be approved by the hotel. This ensures the hotel can accommodate updates and keeps your information in sync.

  • Changes unrelated to accommodations, like flight details, are logged but do not require hotel approval.

If a change is needed, either you or your guest can update the information. Guests can make edits directly on the Guest Website, or you can click the three dots next to their name in the RSVP table.

From there, you can edit the hotel information at needed. Once the update is submitted, the hotel will review it and either approve or deny the request.

You can track these changes in Updates and Changes, where you can see:

  • Active requests waiting for hotel review...

  • Completed requests that have been accepted or rejected

  • The full Change Log, including all other updates

This visibility helps you stay on top of requests and ensures nothing gets missed.


Collaborating With Your Hotel

While the hotel manages confirmation of rooming details on their side, you maintain oversight through your platform view. You’ll see the same updates and requests as the hotel, making it easy to:

  • Confirm updates have been processed

  • Follow up on pending requests

  • Keep your attendees informed of any changes

Maintaining this collaboration ensures that your rooming list is accurate, up-to-date, and fully coordinated with the hotel.
