When a booking includes a room block, someone on your team needs to own the rooming list— whether that's you, a colleague, or a dedicated coordinator. Partner Hub gives you two moments to make that assignment: when you upload your fully executed contract, or any time from the booking page itself.
When Uploading Your Contract
As part of the contract upload process, you'll be prompted to add the person or email alias responsible for managing the rooming list, along with a due date for submission. This is the easiest time to get everything in place, but nothing is locked in: both the assignee and due date can be updated at any time.
From the Booking Page
If you need to assign or reassign a coordinator after the fact, head to the booking page and click anywhere in the booking details to expand them. From there, scroll to the Rooming List section.
Here you'll find:
The rooming list due date
A button to view the rooming list
An Edit Deadline button to update the due date
The option to reassign the rooming list to another team member
To reassign, click the pencil icon next to the assignee's name and select a user from the dropdown of existing account members. If the person you need isn't in the system yet, you can invite them by entering their email address directly.
A Few Things to Know
You can update the assignee or due date at any time, no need to get it perfect on the first pass
The assignee will need an account on Partner Hub, or they'll receive an invitation when added by email
If you're using an email alias, make sure it routes to someone who will actually act on it
