Publishing and Syncing Your Itinerary

How to publish the itinerary and sync to Google or Outlook calendars

Once your itinerary is finalized, you can publish it directly to your guests' Google or Outlook calendars. This makes it easy for attendees to stay on track, and gives you the confidence that everyone's working off the most current event details.


How to Publish Your Itinerary

Before publishing, make sure every section of your itinerary is finalized — times, locations, and any relevant notes. This ensures guests receive accurate calendar invites the first time around.

When you're ready, click the Publish to Guest Calendars dropdown. Check Publish & sync itinerary to guest calendars, and select your platform: Google or Outlook.

A confirmation window will appear. Click Publish and Sync to Calendar to continue.

You'll then be prompted to connect your Google or Outlook account. Follow the steps to authorize BoomPop— this only needs to happen once per account.

Note: Depending on your company's security settings, you may not be authorized to connect Google or Outlook to BoomPop. If you see a permissions or approval error, contact your IT admin to have BoomPop added to your organization's approved app list.

Once your account is authorized, calendar invites go out to anyone opted in to receive them. From there, any updates you make to the itinerary sync automatically to attendees' calendars.

Want to check on things after publishing? Reopen the Publish to Guest Calendars dropdown at any time. You'll see a "Syncing" status while invites are going out, which updates once everything's sent.


Platform Behavior: Google vs. Outlook

Google Calendar. Subscribers see all published events on their calendar. Updates (time or location changes) sync automatically, and no extra emails go out.

Outlook Calendar. Each subscriber gets an email for every event when they first subscribe, and another for every update or cancellation after that. This is expected Outlook behavior, not an error.


What Happens After Publishing

  • Calendar invites go out to all guests who've opted in

  • Updates to the itinerary or guest list sync automatically to attendees' calendars

  • If you're using the Guest Website, the itinerary appears there too

  • Your dashboard updates to show the itinerary has been published
