Your itinerary is the backbone of your event; it takes your list of vendors, activities, and meetings and turns them into an actual day-by-day schedule your team and guests can follow. Here's how to build one from a template, customize it to fit your event, and use the map and suggestions panel to fill in the gaps.

Getting Started
Before you begin: make sure your event dates are finalized before starting your itinerary. Changing your dates in Event Details— even shifting by a single day— will reset your calendar and delete any time blocks you've already built.
Once your dates are confirmed and you have a general outline of your event days, head to the Itinerary section of your planning page to start mapping things out.
We offer a few templates to help you get going:
Work & Fun: a balanced mix of meetings and group activities
Work-Focused: primarily working sessions and meetings
Fun-Focused: mostly activities and social experiences
From Scratch: start with a blank schedule and build it out yourself
After picking a template, you'll see a draft schedule you can start editing right away.
You can switch templates at any time, but heads up— changes made to your current itinerary won't carry over if you switch. You'll see a warning before it's confirmed.
Customizing Your Schedule
Editing time blocks. Once your template is selected, click and drag to adjust time blocks or create new ones. Click on any event and use the pencil icon to edit the details, change the time or date, update the description, or add notes.
Adding collaborator notes. Use Collaborator Notes for anything guests shouldn't see — a vendor's contact info, entry instructions for a venue, that kind of thing.
Maps & suggestions. On the right side of the itinerary page, you'll find a Map tab and a Suggestions tab. This panel recommends vendors and activities based on your event's destination, and any vendors you've added to the itinerary will show up on the map.
In Suggestions, the Recommended section shows restaurants, services, and activities we like near your event location. Nothing here books automatically — you'll still need to reach out to confirm. If you've already confirmed vendors elsewhere in your planning, they'll show up under Booked, and you can add them straight to your itinerary. Location and contact info will auto-fill into the activity block for you.
This view is a good way to sanity-check your event flow — double-check transportation time, spot overlapping commitments, that sort of thing. Everything saves as you go, so there's no risk of losing progress.
A Few Tips
Hiding events. You can hide specific activities from guests— only collaborators will see those. Within the edit screen, check Hide from guests to make the event only visible in the platform, to the event organizers.
Publishing to the guest website. Once your itinerary is ready, it'll show up in the Itinerary section of your Guest Website automatically, as long as that section is toggled on. Keep editing anytime, updates reflect right away.
Want guests to see the itinerary on their own calendars? You can also publish to Google or Outlook Calendar to make it even easier for them to follow along.
