Once you've found the right hotel and are ready to move forward, the next step is getting a contract signed. Here's what that process looks like and how BoomPop fits in along the way.
Requesting a Contract
When you're ready to book, click Request Contract on your proposal page with the hotel. See the full article for all the details on this step in the hotel process.
As part of that request, you'll enter the email address of whoever needs to sign— whether that's you or a designated signatory at your organization. The hotel will send the contract directly to that person through their preferred document signing tool.
Signing and Finalizing
Once your signatory receives the contract, they'll sign it outside of BoomPop through whatever tool the hotel uses. The hotel will mark on their end that the contract has been signed, and once both parties have signed, the hotel is required to upload the fully executed contract into BoomPop.
You can find it in your conversation page with the hotel. That upload is what officially marks the hotel as booked in the platform!
Your Hotel Contact May Change
After booking, it's common to be introduced to a new contact at the hotel, often someone on the events or planning team rather than the sales contact you worked with during the sourcing process.
This person will be your point of contact for logistics like meeting spaces, food and beverage, and other on-site details. If you'd prefer to keep all hotel communication running through BoomPop, you can request that— just let the hotel know in a quick message in the platform.
BoomPop as Your Source of Truth
Even as some hotel communication moves off-platform, BoomPop remains your central record for the booking. Your original RFP, hotel contact information, and message history all live within the platform and are accessible at any time.
There's also plenty left to do in BoomPop after your hotel is booked— managing your rooming list, handling guest management and RSVPs, building your itinerary, and sourcing other event needs like restaurant reservations.
